Most Planner Pat Printables templates are made so you can quickly change the wording for your school, classroom, PTO/PTA, fundraiser, or event.

Before You Start

You will need:

  • Your Planner Pat Printables download PDF
  • A free Canva account
  • Your event information

Canva Pro is not required for most Planner Pat Printables templates.

Have your details ready before you begin:

  • School name
  • Event name
  • Date
  • Time
  • Location
  • Contact information
  • Signup or donation details, if needed

Step 1: Open the Template in Canva

  1. Open the PDF file from your Etsy download.
  2. Click the Canva template link inside the PDF.
  3. Log in to Canva or create a free account.
  4. Click Use template for new design.

This creates your own editable copy.

Step 2: Find the Text You Want to Change

Look over the design and find the sample text.

Sample text might say things like:

  • Your School Name Here
  • Event Name
  • Date
  • Time
  • Location
  • Contact Email
  • Add Details Here

These are the areas you will replace with your own wording.

Step 3: Click the Text Box

  1. Click directly on the words you want to change.
  2. A box will appear around the text.
  3. This means the text is selected.

Do not worry if you click the wrong thing. Just click away and try again.

Step 4: Replace the Sample Words

Once the text box is selected:

  1. Highlight the sample words.
  2. Type your own words.
  3. Click outside the box when you are done.

Example:

Change this:

Your School Name Here

To this:

Lincoln Elementary School

That’s it. Same design, your information.

Step 5: Repeat for Each Text Box

Go through the template one section at a time.

Update each area that needs your information:

  • Title
  • School name
  • Date
  • Time
  • Location
  • Details
  • Contact information

Take it one box at a time. No need to edit everything at once.

Step 6: Make Text Bigger or Smaller

Sometimes your words may be too long or too short for the space.

To change the text size:

  1. Click the text box.
  2. Look at the top toolbar.
  3. Find the number for font size.
  4. Make the number smaller or larger.

Use a smaller number if the text does not fit.

Use a larger number if the text looks too small.

Step 7: Make the Text Box Wider

If your text is jumping to too many lines, the text box may be too narrow.

To fix it:

  1. Click the text box.
  2. Look for the small handles on the sides.
  3. Drag the side handle outward.
  4. Give the words more room.

This often fixes text that looks cramped.

Step 8: Move the Text Box

If the text is in the wrong spot, you can move it.

  1. Click the text box.
  2. Hold your mouse down.
  3. Drag the box to a new spot.
  4. Let go when it looks right.

Try to keep the text lined up with the rest of the design.

Step 9: Change the Font

To change the font:

  1. Click the text box.
  2. Go to the top toolbar.
  3. Click the font name.
  4. Pick a new font.

Simple fonts are best for important information.

Use easy-to-read fonts for:

  • Dates
  • Times
  • Locations
  • Contact information
  • Instructions

Fancy fonts are better for short titles only. Flyers need to be read fast — not solved like a puzzle.

Step 10: Change the Text Color

To change the color:

  1. Click the text box.
  2. Go to the top toolbar.
  3. Click the text color button.
  4. Choose a new color.

Tip: Make sure the words are easy to read.

Use:

  • Dark text on light backgrounds
  • Light text on dark backgrounds

Avoid colors that blend into the background.

Step 11: What to Do if the Text Does Not Fit

Text not fitting is normal. It usually happens when your wording is longer than the sample text.

Try these fixes in this order:

Fix 1: Make the Font Smaller

Click the text box and lower the font size.

Fix 2: Make the Text Box Wider

Drag the side of the text box outward.

Fix 3: Use Fewer Words

Shorter wording usually looks better.

Instead of this:

Please join us for our upcoming Parent Teacher Organization meeting in the school library

Use this:

PTO Meeting
School Library
Tuesday at 6:30 PM

Fix 4: Break the Text Into Lines

Put each important detail on its own line.

Example:

Friday, October 10
6:00–8:00 PM
School Gym

This is easier to read than one long sentence.

Step 12: Check for Leftover Sample Text

Before you download, look over the whole design.

Make sure you removed or replaced anything that says:

  • Your text here
  • Add details
  • School name
  • Event name
  • Date
  • Time
  • Lorem ipsum
  • Sample text

Leftover sample text is sneaky. It likes to hide in corners like a tiny typo ninja.

Step 13: Zoom Out and Look at the Whole Page

Zoom out so you can see the full design.

Ask yourself:

  • Is the title easy to read?
  • Is the date easy to find?
  • Is the time easy to find?
  • Is the location easy to find?
  • Does anything look too crowded?
  • Is anything too small?
  • Is anything too close to the edge?

If something feels hard to read, make it simpler.

Step 14: Proofread the Important Details

Check the details carefully before downloading.

Look at:

  • School name
  • PTO/PTA name
  • Event name
  • Date
  • Day of the week
  • Time
  • Location
  • Email address
  • Website
  • QR code
  • Signup details

This step matters most if you are printing copies.

Step 15: Download Your Design

When your design looks ready:

  1. Click Share in Canva.
  2. Click Download.
  3. Choose your file type.

Use PDF Print for printing.

Use PNG or JPG for sharing online, texting, emailing, or posting on social media.

Then click Download.

Quick Troubleshooting Guide

I cannot click the text.

Try clicking once directly on the words. If that does not work, click again. Some designs have layered items, so it may take an extra click to select the text box.

My text disappeared.

Your text may be too large for the box or the same color as the background. Try making the font smaller or changing the text color.

My words are on too many lines.

Make the text box wider or make the font smaller.

My text looks messy.

Use fewer words, keep details on separate lines, and avoid using too many different fonts.

I changed something by accident.

Click the undo button at the top of Canva. You can also use:

  • Mac: Command + Z
  • PC: Control + Z
