Once you finish editing your Canva template, the next step is saving it in the right format.
This part matters because the file type you choose depends on what you plan to do with your design. A flyer you are printing at home may need a different download setting than a flyer you are emailing to parents or posting on social media.
The good news? Canva makes this part pretty simple once you know which option to choose.
In this guide, you’ll learn how to download, print, and share your Canva design so it looks clean, polished, and ready to use.

How to Download Your Canva Template as a PDF
A PDF is usually the best option when you want to print your design.
Use PDF Print when you are printing flyers, signs, forms, newsletters, or any design where crisp text and high-quality graphics matter.
Best for:
- Printing at home
- Printing at school
- Sending to a local print shop
- Printing flyers, signs, forms, and handouts
- Keeping text and images sharp
How to download as a PDF:
- Open your design in Canva.
- Click Share in the top-right corner.
- Click Download.
- Under file type, choose PDF Print.
- Select the pages you want to download.
- Click Download.
For most printed Planner Pat Printables templates, PDF Print is the best choice.
PDF Standard vs. PDF Print
Canva gives you more than one PDF option, and the names can feel a little confusing at first.
PDF Standard
Choose PDF Standard when you want a smaller file size.
This works well for:
- Emailing a flyer
- Sharing a digital copy
- Uploading to a school newsletter
- Sending a simple preview
PDF Print
Choose PDF Print when you want the best quality for printing.
This works well for:
- Home printing
- School office printing
- Professional printing
- Flyers, posters, signs, and forms
When in doubt, use PDF Print for anything that will be printed.
How to Download a Flyer as a JPG or PNG
JPG and PNG files are image files. These are helpful when you want to share your flyer online instead of printing it.
JPG is best for:
- Email previews
- School newsletters
- Website images
- Smaller file sizes
PNG is best for:
- Social media posts
- Crisp digital graphics
- Designs with lots of text
- Images where quality matters more than file size
How to download as a JPG or PNG:
- Open your design in Canva.
- Click Share.
- Click Download.
- Choose JPG or PNG under file type.
- Select the page you want.
- Click Download.
If your flyer has a lot of text, PNG is often the better choice for online sharing because it can look sharper on screens.
How to Print Your Canva Design
After downloading your design, open the file on your computer and print from there.
For best results, download your file first instead of printing directly from Canva.
Basic printing steps:
- Download your design as PDF Print.
- Open the PDF file on your computer.
- Click File > Print.
- Choose your printer.
- Select the correct paper size.
- Make sure the scale is set correctly.
- Print one test copy first.
A test copy is always a good idea before printing a full stack. It helps you catch sizing issues, color differences, or text that may be too close to the edge.
Recommended Print Settings
For most 8.5″ x 11″ flyers, use these settings:
- File type: PDF Print
- Paper size: US Letter
- Scale: Actual Size or 100%
- Orientation: Match the design, either portrait or landscape
- Quality: Best or high quality, if available
If your printer cuts off part of the design, try selecting Fit to Printable Area. This may slightly shrink the flyer, but it can help keep everything on the page.
Printing at Home vs. Sending to a Print Shop
You can print many Canva templates at home, but a print shop can be helpful if you need a larger quantity or want a more polished finish.
Printing at home works well for:
- Small batches
- Last-minute flyers
- Classroom handouts
- PTO forms
- Event signs on regular paper
A print shop works well for:
- Large quantities
- Posters
- Signs
- Heavy cardstock
- Professional-looking flyers
- Designs with lots of color
If you send your design to a print shop, download it as PDF Print for the best quality.
How to Share Your Canva Design by Email
You can share your finished flyer by attaching the downloaded file to an email.
Best file types for email:
- PDF Standard for a smaller file
- JPG for a quick image preview
- PDF Print if the recipient needs to print it
If the file is too large to email, try downloading it as PDF Standard or JPG instead.
You can also include a short message like:
“Attached is the flyer for our upcoming event. Please feel free to share it with families.”
Simple. Clear. Done.
How to Post Your Flyer on Social Media
If you want to post your flyer on Facebook, Instagram, or another social platform, download it as a PNG or JPG.
Best file type for social media:
- PNG for sharper quality
- JPG for a smaller file size
Before posting, check that the text is readable on a phone screen. Many parents will see your flyer while scrolling quickly, so large text, clear dates, and simple details are important.
If your flyer was designed as an 8.5″ x 11″ page, it may not fill a square social media post perfectly. That is okay, but you may want to use Canva’s resize tools or create a separate social media version when needed.
How to Send Your Flyer to a Print Shop
When sending a Canva design to a print shop, quality matters.
Use PDF Print whenever possible.
Steps for sending to a print shop:
- Open your finished Canva design.
- Click Share.
- Click Download.
- Choose PDF Print.
- Download the file.
- Upload the PDF to your print shop’s website or email it to them.
- Choose your paper size, quantity, and paper type.
Before ordering a large batch, review the print preview carefully. Make sure the design is not being cropped, stretched, or resized incorrectly.
Which File Type Should You Choose?
Here is a simple guide:
| What You Want To Do | Best File Type |
|---|---|
| Print at home | PDF Print |
| Send to a print shop | PDF Print |
| Email to parents | PDF Standard or JPG |
| Post on social media | PNG or JPG |
| Upload to a school website | JPG or PNG |
| Keep a high-quality copy | PDF Print |
For most school flyers and printable templates, “PDF Print” is the best choice for high-quality printing. Please note: if you share your design on social media, it will remain the same size as the template you opened. It will not be reformatted into a square, story, or other social media size automatically.
Common Downloading and Printing Problems
My design looks blurry.
Try downloading as PDF Print for printing or PNG for digital sharing.
My flyer is being cut off.
Check your print settings. Try Actual Size, 100%, or Fit to Printable Area.
My file is too large to email.
Download as PDF Standard or JPG to create a smaller file.
The colors look different when printed.
Colors can look different on screen than they do on paper. Printer settings, ink levels, and paper type can all affect the final result.
I only want to download one page.
When downloading, use Canva’s page selection option and choose only the page you need.
Final Tip: Save a Finished Copy
After you finish editing your design, it is helpful to save a final downloaded copy on your computer.
You may want to create a folder for:
- Edited Canva templates
- Final PDFs
- Social media images
- Print shop files
- Event flyers by school year
This makes it easier to find your finished design later, especially if you plan to reuse the template for another event.
